Job Description

Perform entry-level accounting work. Work involves preparing deposit of payments, preparing vouchers payable, maintaining, preparing, and balancing accounting and financial records, documents, reports or statements. May specialize in some phase of accounting work such as accounts receivable, payables, property and equipment control, analysis of financial data, and reconciliation of financial records. Works under close supervision with minimal latitude for the use of initiative and independent judgment.

Examples of work performed

  • Receive and deposit checks and cash processed by various sections of the agency;
  • Reconcile electronic payments reported by our agency filing and revenue system to amounts received by the State Treasury for credit card, debit card, and other such transactions;
  • Ensure that total cash and checks delivered to central deposit office agrees with summary listing and reconciliation reports,
  • Obtain refund authorizations from various sections, ensure that authorizations have been received for all refunds generated each day, ascertain that refund voucher is ready for payment,
  • Log non-sufficient funds (NSF) checks received from State Treasury and routes them to appropriate revenue processing area for follow up,
  • Mail refunds to customers and warrants to vendors.
  • Reconcile payroll warrants or earnings statements received from Comptroller to warrant registers and distribute warrants and earnings statements to internal sections/divisions.
  • Assists with researching and reconciling accounting discrepancies and reports findings.
  • Conduct an annual inventory of equipment and property.
  • Perform other accounting duties and related work as assigned.

    Education, experience, and training.

  • High school diploma or equivalent.
  • One year of relevant work experience processing payment, maintaining, and reconciling accounting records.

  • Knowledge, Skills, and Abilities
  • Working knowledge of MS Excel.
  • Relevant working knowledge of accounting or bookkeeping principles.
  • At least 80% accuracy on 10-key test.
  • At least 80% accuracy on a numeric filing test.

  • Experience with state accounting systems is preferred but not required.

  • Salary will be based upon verifiable experience.
