Job Description:
Performs advanced (senior-level) professional assistance work for the Texas Indigent Defense Commission. Work involves overseeing high-level administrative operations of an agency or division. May assign and/or supervise the work of others. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment.

Essential Job Functions:
• Provides administrative and technical assistance to TIDC, including answering phone calls, routing incoming calls, taking messages, greeting visitors, and directing them to the appropriate staff.
• Maintains files and records; develops, coordinates, and maintains record keeping and filing systems.
• Performs data entry.
• Assists in planning meetings and conferences.
• Prepares, edits, and distributes minutes, correspondence, reports, studies, forms, and documents.
• Assists staff with travel requisitions, electronic requisitions for office supplies, other requisition requests.
• Prepares and disseminates information concerning agency programs and services.
• Assists in compiling statistical data and preparing various charts, graphs, and written summaries.
• Reviews forms and applications for completeness of information.
• Responds to inquiries and interprets rules, regulations, policies, and procedures.
• Provides technical guidance and advice on administrative matters to agency executives, management, or other staff.
• Assists in the development of administrative or technical assistance policies and procedures.
• Assists in researching, composing, designing, or editing agency publications.
• Maintains professionalism in the course of work with employees, co-workers, and management.
• Maintains confidentiality when working with sensitive and confidential information.
• Performs related work as assigned and complies with all OCA policies
Minimum Qualifications:
• Graduation from an accredited college or university; may substitute four years of related experience for required education on a year for year basis.
• Two years of high-level administrative or closely related experience.
• Proficiency with word processing and spreadsheet applications is required; including creating statistical tables, charts and graphs.
• Experience using database applications; data entry and running reports.
Preferred Qualifications:
• Bachelor’s degree.
• Executive assistant experience with a State of Texas employer.
• Experience in the judicial branch.

Employment Conditions:
• Operates standard office equipment.
• Performs sedentary office work.
• May be required to move equipment or other materials weighing up to 20 pounds.
• Must sit for extended periods of time.
